POSITION OVERVIEW

We are seeking an Office Admin / Service Coordinator to help manage scheduling, customer communication, and day-to-day administrative tasks that keep the business running smoothly.

This role directly supports service and sales operations by helping coordinate estimate requests, order parts, manage paperwork, and maintain organization across the company.

The ideal candidate is organized, proactive, and comfortable communicating with customers by phone and text.


RESPONSIBILITIES

• Answer and return customer calls and messages
• Schedule service appointments and estimate requests
• Coordinate install scheduling with crews
• Order parts and track deliveries
• Register equipment warranties
• Assist with customer follow-up and estimate reminders
• Help manage invoices, paperwork, and basic bookkeeping tasks
• Maintain organization inside Housecall Pro and company systems
• Support general administrative needs as the company grows


QUALIFICATIONS

• Strong communication skills (phone, text, email)
• Highly organized and detail oriented
• Comfortable using scheduling software and Google tools
• Customer service experience preferred
• Ability to multitask and prioritize tasks
• Reliable and professional

HVAC experience is helpful but not required.


COMPENSATION

Hourly pay based on experience
Part-time hours initially with opportunity to grow into full-time role

Performance incentives may be available as responsibilities expand.
